The rains have stopped in my neck of the woods and it's starting to feel like summer, which will officially be here on the 21st of this month! When I look out my office window I see a trellis full of pink roses and woods full of honeysuckle...mmm....the air is thick with the scent at the end of a warm day. If you sit still on the porch in the dusk you can hear the birds calling to each other. I just love this time of year!

School was officially out in our area this Friday and you could immediately tell by the traffic in the morning. We will have three months of clear sailing during rush hour now until school is back in session.

I hope that you and yours are enjoying this slower paced time of year and taking in all the sights and sounds of summer, spending time with family and your friends - it's what memories are made of...

Taking Dual Notes in MS Word

A student recently wrote to me with a query about taking notes with his laptop in class.

It seems she needed to take two different sets of notes for a subject; one set of notes for reading, and another set of class notes.

I advised her that there were two methods of doing this, one of which I covered in the Premium edition of my newsletter: Side-By-Side Viewing in MS Word.

You can organize two sets of notes by using a single table in MS Word. Follow the steps below to learn how:

  1. Create a new Word document.
  2. Insert a table that has two columns and one row.

Of course, this method works well if you do not take lots of notes of one category. You can, though, format your tble any way that is best for you, for instance, you can remove the outside borders and leave only the line down the middle dividing your notes. I am sure you will find a method and format that works best for you. If you subscribe to the Premium version of Word Bytes, you will see yet another method that works quite well, without tables!

Delete all Outlook Calendar Entries at One Time

One of my subscribers wrote to me recently with an inquiry. It seems she was leaving her place of employment and wanted to know how she could delete all of her calendar entries at one time; she was using MS Outlook 2003.

My reply:

  1. In Calender, point to Current View on the View menu.
  2. Click By Category.
  3. Select all items using CTRL + A.
  4. Click Delete.

You can also delete a single category of Calendar items, such as holidays, by selecting the table list entry and pressing delete.

To reduce the size of your data after deleting items, empty you Deleted Items folder.

Outlook Calendar a Patchwork Quilt?

A subscriber recently wrote to me with this plaint: "Why does my calendar look like a patchwork quilt with different colors? I know it is most likely related to color categories on appointments, but why are only some of the dates shaded when I use color categories on all of the appointment?"

My Reply:

When you add a color category to a times appointment, the background of the appointment is shaded in Day/Week/Month view.

When you add a color category to an all day event, the entire day may or may not be shaded. What you select in the Show time as field will control the coloring.

When set to Busy, the entire day is shaded the category color. If it is a tentative event, the day is shown with category-colored crosshatching. Events marked Busy will always be purple, while Free time is not colored at all.
