[March 1, 2009]

It was unseasonably warm a couple of days this week and it was so nice to see a hint of spring. Alas, today there was a half inch of snow on the ground when I awoke! Take heart though - Spring is definitely on the way. On Friday I woke to birds singing, the sun shining and a deer grazing next to the driveway. It doesn't get much better than that! Well warmer temperatures could be an improvement for sure! The heating bills are ridiculous nowdays and we are all wearing sweaters!

It will not be long now and we will be celebrating St. Patrick's Day, the day when everyone has a wee bit 'o the Irish in them and then along comes April....ahhhh.....Spring time! So hang in there it will not be long!

Let's get to the tips now!

Multiple Sheet Selections in MS Excel

Many times you make the same changes to multiple sheets in an Excel workbook. Perhaps you would like to change the column widths or apply special formatting to a range of cells in several sheets.

Creating a group of selected sheets, allows you to perform this task just once, thereby saving time and narrowing the margin for error.

There are several ways to select seveeral sheets to create a multi-sheet selection:

  • Click a sheet tab.
  • Click Shift and keep it depressed while clicking a second sheet tab.

Excel will select both clicked sheets and all the sheets in between.

To select non-contiguous sheets follow these steps:

  • Click CTRL and keep it depressed while clicking sheet tabs.

Excel will select all of the clicked sheets.

To select all sheets, follow these steps:

  • Right-click a sheet tab and select Select All Sheets.

To select the current sheet and the previous sheet:

  • Click Shift + CTRL + Page Up

To select the current sheet and the following sheet:

  • Click Shift + CTRL + Page Down.

Errors occur when you forget that you are workign with a mult-sheet selection. Be mindful that everything you do to the current hseet, Excel also does to every sheet in the selection.

If you make changes to a selection of sheets when you meant to change only the current sheet, you may have a lot of damage to repair.

You can avoid mayhem by cancelling a mutli-sheet selection task as soon as you complete your multi-sheet tasks.

To do so:

Click an unselected sheet or right-click a selected sheet tab and select Ungroup Sheets.

Hiding Addresses when using a Distribution List

If you include a distribution list in the To or Cc box of a message, all of the recipients of your message - whether members of the distribution list or not - can see the addresses of individuals in the lists. Outlook does not retain the list name in the address field of the message but instead, replaces it with the actual addresses from the list.

In some cases, the members of a distribution list may not want to have their addresses made public, even to other members of the list. In these situations, address the message using the Bcc box, rather than the To or Cc box.

To display the Bcc box in the message form, click the arrow beside Options on the toolbar and select Bcc. Then enter in the Bcc box all addresses and distribution lists that should remain hidden. Bookmark and Share
