Control the Display of your Formula Bar in MS Excel

For those of you who do not know, your Formula Bar in MS Excel is located at the top of your screen, bust underneath your Ribbon or the Formatting toolbar, depending upon which version of Excel you have a license for.

The Toolbar is comprised of two parts:

  • On the left-hand side is the Name Box;
  • On the right-hand side is the contents of your currently selected cell.

Now sometimes you may need more real estate to view one of your worksheets and sometimes you just don’t need to see the information provided in your Formula Bar and the good news is that you can turn it off if you do not need it!

Follow the steps below to learn how:

Versions 2007 – 2010:

  1. Click the Office button | Excel Options to display the Options dialog box.
  2. Click Advanced on the left-hand side.
  3. Scroll down until you see the Display options.
  4. Click on the Show Formula Bar check box.  If it is currently selected, then your Formula Bar is displayed. If you deselect it then your Formual Bar will not be displayed.
  5. Click on OK.

Earlier Versions:

  1. Click on Tools | Options to display the Options dialog box.
  2. Be certain the View tab has been selected.
  3. Click on the Formula Bar check box. If it is selected then your Formula Bar is selected. If you deselect it, your Formul Bar will not display.
  4. Click OK.

Note:   You can also view your Formula Bar option from the View tab of your Ribbon or from the View menu. This operates as a toggle: Click on it one time and the Formula Bar disappears – click on it again and it will reappear.

Highlight Information in MS Word Using Shading

Word provides you with a very handy method of shading text in your documents. Shading can be added together with any border you may specify for your paragraph. This is a great little feature – it even allows you to precisely control the level of shading.

 Follow the steps below to learn how:

  1. Place your cursor in the paragraph that you would like to highlight.
  2. Click the Home tab of your Ribbon.
  3. In the Paragraph group, click the down-arrow to the right of the Shading tool that resembles a paint can to display the shading palette.
  4. Select one of the ten theme colors at the top of the palette. Each color has options under them to represent a different level of shading for that particular color.

If you are using an earlier version of word:

  1. Place your cursor in the paragraph that you would like to highlight.
  2. Click on Format | Borders and Shading to display the dialog box.
  3. Click on the Shading tab.
  4. Using the Style drop-down list, select a degree of shading you want to use for your paragraph.

  • Click OK.

Highlighting your text using the shading settings is completely different than highlighting text using the highlighter tool.  Personally, I think it is easier to do using shading and you have a lot more flexibility as well.

You can apply the shading technique to styles and create a character style that incorporates shading. You can then apply the character style to anything you would like to shade and you can easily remove the style, replace it with other formatting or search for the style.

The process is much more inolved when working with highlighting that has been applied using the highlighting tool.

Print Hidden Text in MS Word

Regardless of whether you can view hidden text in your MS Word documents, Word allows you to control the printing or hidden text.

Follow the steps below to learn how:

Versions 2007 – 2010:

  1. In version 2007, click the Office Button | Word Options, and in version 2010, display the File tab of your Ribbon, to display the Word Options dialog box.
  2. Be certain the Display option is selected at the left-hand side.
  3. Click the Print Hidden Text box in the Printing Options area.
  4. Click OK.

In versions 97, 2000, 2002,  and 2003:

  1. Click on Tools | Options to display the Options dialog box.
  2. Be certain the Print tab is displayed.
  3. Click on the Hidden Text check box.
  4. Click on OK.

Hidden text will now be printed when you print your document.
