Open Multiple Files at Once in MS Office

I am a multi-tasker. I almost always have several applications open at any one time, for instance, when I am creating my newsletter! So, in the interest of saving time, I usually open all of these documents, spreadsheets, etc. all at once.

Follow the steps below to learn how:

  1. Click on File | Open, or in 2007, click the Office button and Open. You can also use the keyboard shortcut CTRL + O.
  2. Find the files you would like to open.
  3. If the files are contiguous, click on the first one to highlight it and then depress your Shift key and while still holding it down, click on the last item in your list.
  4. If the files are NOT contiguous, simply click on the first one and then depress your CTRL key and keep it held down while you select your other files.
  5. Once you have selected your files, click on Open.

NOTE: These files must all reside in the same folder for this method to work.

Add Background Color to MS Word 2007 Documents

MS Word 2007 has some cool features that make word processing a lot more fun. For instance, if you want to dress up a document with a little background color, it is very easy to do now.  I’m not saying that I think colored backgrounds should be used all the time as it doesn’t present a very professional image, but there are times when it can be quite appropriate, such as Christmas newsletters, sale ads, etc.

Follow the steps below to add a color background to your 2007 Word documents:

  1. Launch MS Word 2007 if it is not already open.
  2. Open the document in which you would like a color background.
  3. On the Ribbon, click the Page Layout tab.
  4. In the Page Background group, click the drop-down arrow next to Page Color and select the color you would like for your background.

  • One of the nicest features of MS Word 2007 is that you can hover your mouse over each color to see a preview of how your document will look with that background.
  • Select the background color you like.

That’s it!  You are finished!

Footnotes Hot Key in MS Word – Law Offices Love It!

If you are employed in the legal arena, then you know that there are always lots of fun little footnotes in your documents, especially if you are still in law school. Believe it or not, I grew a lawyer – yes, my son is an attorney at law so I know of what I speak. You will note the Baltimore Injury Lawyer Blog on my Blog Roll – yep, that’s my boy!

I think I speak for lawyers and legal assistants everywhere when I say that it is a big old pain in the butt to click on Insert | Reference | Footnote every time you need a footnote in your document. So I will share this handy dandy hot key that will make your life sooooo much easier. My mantra is save time and keystrokes!

MS Word has a nifty hot key that will insert a footnote for you no matter where your cursor is sitting in your document. See below for the magic key combination:

  • CTRL + ALT + F

Abra cadabra! You now have a footnote – just enter the text.  I really do know how to save time in a law office don’t I?
