Print your Recurring MS Outlook Appointments

Wouldn’t it be nice to have a handy list of appointments that you have scheduled for recurring events? One might think that would be available in MS Outlook but alas, it is not. There is, however,  a way to get around MS Outlook’s limitation and print out a list of those recurring appointments.

You can export your calendar to MS Excel!   Once you have done that, you can then sort and filter the list and then print it.

Follow the steps below to learn how:

To export your calendar to Excel:

  1. In Outlook, click on File | Import And Export.
  2. Select Export To A File from the Choose An Action To Perform list.
  3. Click Next.
  4. Select Microsoft Excel 97 – 2003 from the Create A File Of Type list.
  5. Click Next.
  6. Click Calendar in the Select Folder To Export From list.
  7. Click Next.
  8. Click Browse and navigate to the folder where you would like to save the workbook.
  9. Name your workbook.
  10. Click OK.
  11. Click Finish.

Specify the appropriate date range for your export.

Once MS Outlook completes the export, ope the workbook and click the Calendar tab.

If there is no tab visible named Calendar, you may have to click around some to find your Calendar items.

You can use a filter to exclude all but the recurring items and then sort the filtered results to arrange them as necessary.

You can now print your filtered list!

Calendars and More Calendars

If you are trying to schedule a meeting with folks in other locations when you are away and do not have your laptop with you, I have found a really cool place that allows you to calendar an event and let other folks check to see if they can make it, etc. You e-mail the participants and go from there.It’s really pretty cool and very easy to work with. It is called Meetomatic and you can try it here.

Then there is Doodle, which I think I like even better. Doodle lets you create a poll and then send the link to participants. The cool thing is you can follow the poll online and see what everyone votes for! Check it out here.

I think you will have a lot of fun with these and they really and truly can be a lifesaver when you’re on the road and trying to run a business.

Moving MS Outlook Appointments

Someone in the office today was griping about what a pain it is to change appointments in MS Outlook when the date is changed.

I showed him just how easily this can be accomplished. Suppose the time of your appointment has changed. All you have to do in your daily detail is drag and drop your appointment to the new time!  It doesn’t get much simpler than that.

So too, you can drag an appointment to a different date. Just click it and drag it to any day on the screen. If the date isn’t showing, simply drag it up to the small calendar in the corner and drop it on the date.

You will find that your appointment has been rescheduled to the new date!  I am all about saving time and keystrokes!
